At PuliKidz, we prioritize the health and safety of all children attending our out-of-school clubs. Children who are unwell should refrain from attending until they are fit to return, adhering to guidelines set by health authorities.
We are committed to addressing illness swiftly and efficiently, taking all necessary measures to protect both staff and children from communicable diseases. Upon registration, parents or guardians must provide detailed medical information and grant permission for emergency medical treatment if required.
Any accidents or illnesses will be documented on an Incident Record or Accident Record sheet, which parents or guardians will need to sign when collecting their child.
Illness During Sessions
If a child becomes ill while at the club, the following procedures will be followed:
- Parents or guardians will be contacted to collect the child as soon as possible.
- The child will be kept comfortable and supervised while waiting for their pickup.
- If a child reports minor illness without significant impact on their wellbeing, they will be monitored throughout the session, and parents will be informed upon collection.
- In the case of a minor injury, first aid will be provided, and the child will be observed for the rest of the session.
- If necessary, we may ask parents or guardians to collect the child promptly.
Serious Illness or Injury
In the event of a serious illness or major injury, the first aider present will determine whether immediate medical attention is required or if it is safe to wait for the parent or guardian.
- If urgent medical attention is needed, an ambulance will be called, and a staff member will accompany the child to the hospital.
- The staff member will bring the child’s medical information and will be authorized to consent to any necessary treatment, based on prior approval from parents on the child’s administration form.
- We will contact the child’s parents or guardians urgently. If they are unreachable, we will reach out to the other emergency contacts listed on the child’s file.
Communicable Diseases
If head lice are identified at the club, the affected child’s parents or guardians will be discreetly informed during pickup. Other parents will be alerted to check their children for head lice, without disclosing the identity of the affected child. Should any infectious disease be detected on the premises, we will notify parents and guardians immediately. In the event of food poisoning affecting two or more children, the manager will inform Ofsted within 14 days, and if there is an outbreak of a notifiable disease, we will notify the Health and Safety Executive in accordance with the Health and Safety at Work Act (1974), if applicable.
First Aid
The designated first aider holds a current pediatric first aid certification, and we aim to ensure all staff members are trained in pediatric first aid to handle any medical incidents. The location of the first aid kit and a list of qualified first aiders will be clearly displayed at the club. The first aider regularly checks the contents of the first aid kit to ensure compliance with the Health and Safety (First Aid) Regulations 1981.
Administration of Medication
Recognizing that some children may require medication during their time at PuliKidz, we have established a procedure to ensure safe and appropriate administration of medication, in line with legal requirements.
- Medication will not be accepted without a completed and signed medication record form from the parent or guardian.
- All medications must be delivered in a secure, labeled container as dispensed by a healthcare professional. The container must clearly display:
- Child’s name
- Medication name
- Dosage
- Frequency of administration
- Date of dispensing
- Storage requirements
- Expiry date
- Parental signature
Each medication must have an ‘Administration of Medication’ form fully completed, signed, and dated by the parent or guardian.
- Unlabeled medications will not be accepted.
- All medications will be stored securely away from children in a locked cabinet.
- Staff will not alter dosage based on parental instructions without accompanying written instructions from a healthcare professional.
- Two staff members will be present during the administration of medication.
- The medication record will be updated immediately and signed by both staff members once medication is administered.
- Any refusal of medication by the child will be documented, and parents or guardians will be notified.
- It is the parent’s responsibility to inform staff in writing when a child no longer requires medication.
- Staff will return unused medication to parents or guardians; disposal will not be conducted by staff.
- When necessary, specialized training for administering medication will be provided by qualified health professionals specific to the needs of the child.
- Our medication administration arrangements comply with the terms of our insurance coverage.
