Partnership with Parents/Carers

At PuliKidz, we understand that collaborating with parents and carers is essential to fostering the best environment for children. We appreciate that you know your child best and are committed to delivering high-quality childcare to support your daily commitments. We are always open to discussing any concerns or suggestions you may have regarding your child’s care, no matter how small.

To facilitate this partnership, we adhere to the following standard conditions:

Food and Dietary Requirements

PuliKidz promotes healthy eating habits to support children’s growth and development. Upon registration, parents and carers are required to inform us of any food allergies or dietary restrictions. This information is taken into account when planning our menus. Our meal options vary, and we encourage parents to notify staff of any foods their child dislikes or is allergic to. Special treats may be provided on occasions such as ‘Fun Fridays’, birthdays, or holidays.

Welfare of the Child

We prioritize the welfare and safety of your child and are dedicated to creating a secure and nurturing environment. Our staff works collaboratively with children, parents, and the community to promote a safe and supportive atmosphere.

Concerns/Complaints

If you have any questions, concerns, or complaints regarding your child’s care or safety, please bring them to the attention of the Club Leader or Manager. We maintain high standards for the quality of care provided and welcome any feedback on how we can improve our services. All concerns will be treated seriously, confidentially, and handled fairly. Our complaints procedure is accessible on our notice board and website, and policies can be provided via email or in printed form upon request.

Medication

Whenever possible, children should receive prescribed medication at home. If it’s necessary for medication to be administered during club sessions, parents and carers should discuss this with our staff to determine the best approach. Parents/carers must inform us if their child will be absent from the club by 10 AM on the day they are scheduled to attend. Medication can only be given to a child if it has been prescribed by a doctor and is presented in its original packaging. Consent forms must be signed prior to administering any medication.

Disclosures

To ensure your child’s well-being, parents and carers are required to disclose any medical conditions, health issues, allergies, or family circumstances that could affect the child. This information should be provided at the time of registration or as soon as it is known.

Safeguarding Children

At PuliKidz, the safety and welfare of our children are our top priorities. Our staff is trained to recognize signs of abuse or neglect and monitor changes in behavior. All sensitive information is kept confidential, and we work with external agencies as necessary to safeguard the children in our care. Sharing confidential information about the club, its employees, children, or parents/carers with third parties is considered a breach of confidentiality and may result in disciplinary action. Communication regarding child welfare should occur through secure channels; social media is not an appropriate medium for such discussions. If a child does not arrive for a booked session without prior notice, we will initiate our Missing Child Procedure.

Movement of Children Between Buildings

In certain instances, children may need to be escorted between buildings due to the layout of our facilities. Our staff will supervise these transitions to ensure the children’s safety. By enrolling your child at PuliKidz, you acknowledge and accept this arrangement.

Fees

All children attending PuliKidz will incur sessional fees, which must be pre-paid at the time of booking. Bookings can be made through our online system. All fees are due upon booking unless alternative arrangements, such as payment via Childcare Vouchers or a card installment plan, are agreed upon. It is the parent’s responsibility to ensure bookings are made by the deadline, which is the day prior to the session. Registration forms must be completed before a child attends PuliKidz, with annual updates required to keep information current. Fees are non-refundable for absences due to sickness or any other reason. The club operates under strict budgeting policies, and fees must be maintained to ensure continued operations. Should the club be forced to close due to circumstances beyond our control, such as inclement weather or power failures, no refunds or compensation will be issued.

Cancellation Notice and Charges

It is the responsibility of the account holder to cancel any sessions. Sessions not attended without 48 hours’ notice will incur charges. Parents must notify the club by email if their child will arrive late due to extracurricular activities. Session swaps for Breakfast and After School Clubs require a minimum of 14 days’ notice. Holiday bookings can only be swapped subject to availability and with at least 7 days’ notice, communicated via email.

Unpaid Fees

Fees must be paid at the time of booking through our online system. If bookings are made on short notice without payment, an invoice will be issued. Unpaid fees may result in denial of service and a late payment fee of £10.00. We reserve the right to pursue recovery of debt as permitted by law.

Late Collection

While we strive to provide care during normal operating hours, any collections made after the scheduled end time will incur a charge of £8 for every 15 minutes late.

Belongings

PuliKidz cannot accept responsibility for any lost or damaged belongings. Parents are encouraged to label all clothing and minimize personal items brought to the club. We will make every effort to return identifiable items, but unclaimed items will be donated to local charities at the end of each half-term.

Photography

PuliKidz occasionally takes photographs and videos for marketing and promotional purposes. If you prefer that your child not be included in such materials, please inform us. We also ask parents not to use mobile phones for photography while on the premises, and staff are prohibited from using phones during work hours.

Insurance

PuliKidz maintains all necessary insurances as mandated by law. Details are available upon request from the Club Manager. Current Employer’s Liability and Public Liability Insurance Policies are displayed at our facilities.

Data Protection

In compliance with legal requirements, PuliKidz collects and securely holds information regarding children and staff. This data is used for administrative purposes such as registers and emergency contacts. You are responsible for ensuring that any personal information shared is done with consent. We may retain some personal details for marketing purposes; please inform us if you do not wish to receive further communications.

Security

It is the responsibility of parents/carers to notify staff about who will be collecting their child. Children will not be released to anyone without prior notification from the responsible parent/carer. If someone other than the authorized individual is collecting the child, please inform us in advance.

Parent Abuse of Staff

Any threats or acts of violence, verbal abuse, or intimidation toward our staff will result in immediate termination of contact with the family. Such incidents may be reported to law enforcement.

Liability

PuliKidz does not accept liability for personal injury or death unless directly caused by proven negligence. We are not responsible for personal items lost, stolen, or damaged on the premises.

Legal Contract

Accepting a place for your child creates a legally binding contract based on these terms and conditions. It is important for parents and staff to adhere to these terms, and any questions should be directed to the Club Manager or Business Manager.

By agreeing, I, the parent/carer with legal responsibility for the child named, acknowledge that I:

  • Understand childcare hours are as specified at booking.
  • Will notify the provider of my child’s absence, which will be recorded.
  • Accept that fees remain payable for sickness or holidays.
  • Will provide written notice of cancellation at least half a term in advance.
  • Recognize that knowingly providing false information is a criminal offense and may be reported.

I, as the Childcare Provider, will:

  • Provide the allocated hours without additional costs.
