Uncollected Child Policy

At PuliKidz, if a child is not collected by an authorized adult at the end of their session, we will implement established procedures to ensure the child is cared for safely and effectively. Our priority is to provide a nurturing environment overseen by two qualified practitioners who are familiar to the child, minimizing any potential distress.

Before enrolling children in our out-of-school clubs, parents or caregivers are required to complete an admission form. This form must include current and relevant information about each child, including contact details for individuals with parental responsibility. In cases where we are unable to reach the child’s parents or caregivers, we will also request additional contact information for three other responsible adults.

When parents or caregivers anticipate that they will be unavailable at home or their usual workplace, they should inform us of how to reach them.

If parents or caregivers or the usual authorized individuals cannot collect the child, they must provide details for verifying the identity of the person who will be collecting the child.

Parents and caregivers must notify us if they are unable to collect the child as originally planned so that we can initiate backup arrangements. Our contact number is readily available for this purpose.

Procedures for Uncollected Children

If a child remains uncollected at the end of a session, we will take the following steps:

  1. Check for Changes: Verify if any changes to the child’s collection have been documented.
  2. Inform Management: Notify the setting manager immediately.
  3. Contact Parents/Caregivers: Attempt to reach parents or caregivers using all available contact numbers (home, work, mobile).
  4. Contact Other Adults: If parents or caregivers cannot be reached, contact the other responsible adults listed on the child’s registration form.

If the child is eventually collected by one of the authorized individuals, even if later than expected, the main parent or caregiver will still be contacted by the manager to provide a reasonable explanation. For any further concerns, refer to our safeguarding policy.

In Case All Contacts Are Unsuccessful

If all attempts to contact the child’s parents or caregivers fail, and reasonable efforts have been made:

  • The child must not leave the premises with anyone other than the adults listed on the registration form.

If no one collects the child within one hour, we will follow these procedures:

  1. Contact Local Authorities: Reach out to the Local Authority Children’s Social Care Team at (01226) 772423 (available weekdays before 5 pm) or the emergency duty team at (01226) 787789 (after 5 pm on weekdays and on weekends).
  2. Do Not Search: Under no circumstances should staff members search for the child’s parents or caregivers.
  3. No Taking Children Home: Staff must never take the child to their own home.
  4. Documentation: A detailed report will be prepared regarding the incident, and staff must remain vigilant in documenting all relevant details.
